Why an invoice balance may differ from a simple calculation

Use the invoice's displayed Balance Due as the amount still owed. Do not calculate it by subtracting one invoice column from another: payment schedules and processed refunds can affect the canonical amount.

What contributes to the balance

  • Invoices with payment schedules: the invoice total is based on eligible schedule amounts. Cancelled and waived schedules are excluded.
  • Invoices without payment schedules: the total is based on the invoice-level amount.
  • Paid amount: scheduled invoices use the greater of the schedule-paid total and the invoice-level paid amount.
  • Refunds: processed refunds reduce net paid and can increase the balance. A pending or approved request is not yet a processed refund.
  • Balance due: cannot display below zero.

A partial payment reduces the amount due but does not mean the invoice is settled. An installment may also be overdue based on its own due date even when the invoice has a later overall due date.

If the amount looks unexpected

  1. Open the invoice and review its displayed total, paid amount, and balance due.
  2. Check the payment schedule and due dates.
  3. Review the payment history and the status of any refund.
  4. If the difference remains unclear, ask an authorized finance staff member to review the invoice.

Avoid changing invoice amounts to force them to match a manual calculation. Speakly uses the same canonical invoice values across its financial views.
